Working Together Brings EMR Implementation Success

When Shawnessy Medical Clinic recently upgraded their electronic medical record (EMR) to the new Physician Office System Program (POSP) qualified standard, it had the support of its Primary Care Network (PCN) Information Technology (IT) department, its EMR provider and the POSP. Following the transition, the clinic is completely satisfied with how smoothly the transition went.

The clinic was already using a Wolf Medical Systems EMR and was happy with the provider and the software, so it was an easy decision to upgrade to the company's new complete EMR solution. The IT department at the South Calgary Primary Care Network (SCPCN) supported the move.

IT support when you are undergoing a large information technology change in your clinic can make a huge difference. A PCN IT department represents the clinic and acts as a facilitator between the clinic and the EMR provider or other stakeholders.

"IT support can help a clinic to have a better understanding of what they need, what their options are and to manage expectations in terms of the EMR," says Ferdinand Legaspi, Director, Information and Technology, SCPCN. "Working alongside the EMR provider, we offer the clinic ongoing assistance, informal training and information materials. We want to empower our clinics to contact each other to minimize calls for support to the provider in hopes we can resolve any issues ourselves first."

The IT support was appreciated by the clinic as they moved through the transition. "The PCN IT staff were there all the time making sure everything was running smoothly," says Dr. Asha Paul, physician at Shawnessy Medical Clinic. "Their expertise was greatly appreciated and provided us a great sense of comfort knowing that they would consider and address issues that we might not otherwise think of."

Throughout the process, the clinic also welcomed the support they received from POSP. For clinics thinking of upgrading or currently going through the process, Dr. Paul confirms that weekly meetings held before, during and after the upgrade are incredibly useful. "In our case, it was with Wolf, the PCN, POSP and ourselves," she says. "All the players at the table ensured we were all on the same page as we moved forward."

Wolf also pulled out all the stops to ensure success. There was some apprehension when it came to light that the clinic would need to close for one day for the implementation explains office assistant, Riana Haddad. "I would say the biggest concern was not being able to provide services for our patients. However, Wolf aptly responded by working throughout the night to get us up and running."

Dr. Paul applauds the effort. "Wolf worked all night and the next day we were able to use our computers. We actually only closed for half a day because of their commitment to our clinic and we were so pleased about that."

Hadbad offers some guidance to clinics going through an EMR transition. "Working together can produce the best results. Our transition went very smoothly and the training offered to us was great," she says. "It has been a really good experience, but it is important to remain patient."

Dr. Paul is also very pleased; "The transition went very smoothly, we had no issues at all."
